Ignaris HQ Social: Privacy Policy

Who we are
Ignaris HQ Social is the post-scheduling module of Ignaris HQ, the internal operations tool of IGNARIS PRIME SRL, a Romanian company with registered office at Str. Ștefan Mihăileanu Nr. 45, Camera 1, Etaj 2, Ap. 5, Constanța 900191, Romania, CUI RO37156492, Reg. Com. J2017000489139 ("Ignaris", "we"). Ignaris HQ is not a public service: only Ignaris employees with a pre-approved company Google account can sign in.
YouTube API Services
Ignaris HQ Social uses YouTube API Services to upload videos to the YouTube channels that Ignaris owns. By connecting a YouTube channel to Ignaris HQ Social you also agree to the Google Privacy Policy: http://www.google.com/policies/privacy.
What we access and store
When an administrator connects a channel, Google asks for two permissions: to upload videos (youtube.upload) and to read the basic details of the connected account (youtube.readonly). With them we store:
- an OAuth refresh token for the channel, encrypted (AES-256-GCM) in our database; the short-lived access tokens are never stored;
- the channel's ID, handle and title, to show which channel is connected;
- for every video we upload: the YouTube video ID and its link, next to the post in our schedule.
We do not read or store comments, subscribers, analytics, viewing history or any data about people who watch our videos. The videos, titles and descriptions themselves are created by Ignaris staff and stored in our own media storage before upload.
How we use it
Only to publish the videos Ignaris staff schedule in Ignaris HQ, at the time they choose, on the channel they choose, and to show in Ignaris HQ whether each upload succeeded and where it is on YouTube. The data is used inside Ignaris only. We do not sell, rent or share it with anyone. Our hosting and database providers process it on our behalf, under data processing agreements.
Third-party content and advertising
Ignaris HQ Social shows no advertising and lets no third party serve content in it.
Cookies and device storage
Ignaris HQ uses a session cookie to keep you signed in and, during the connection of a channel, a one-time encrypted cookie that expires after 10 minutes. It also keeps display preferences (such as the colour theme) in your browser's local storage. There are no analytics or advertising cookies.
How long we keep it
The refresh token is kept while the channel stays connected. The channel's handle and title are refreshed from YouTube at least every 30 days. Video IDs and links stay with the post they belong to, as the record of what Ignaris published.
How to revoke access and delete the data
An administrator can disconnect the channel in Ignaris HQ (Social, Settings, "Disconnect YouTube"): the stored token is deleted at once and the channel's handle and title within 7 days. You can also revoke Ignaris HQ Social's access at any time from the Google security settings page: https://security.google.com/settings/security/permissions. When access is revoked there, we delete the stored token and the channel's details within 30 days. To ask for deletion by email, write to cristian.ignat@ignaris.com; we act within 7 days.
